Minutes of Meeting
September 12, 2006

A meeting was held in the UM Band Room. In attendance were Chris Gaiter, Deanna Santana, Jeff & Diana Holm, Alma Morales, Paula H., Debby Martin, Lisa Bergenholtz, Tori Loba, Genwalk, John Prock, Carol Kouklis, Susan Sprenkel, Susie McSorley, Judi Harkins, Sheila & Steve McVey.
The meeting was called to order by Chris Gaither at 7:02pm.
Minutes of August Meeting Minutes - Read by Alma Morales and approved by all in attendance.

Treasurer’s Report - Jeff Holm
Jeff announced that we have approximately $7400. Raffle tickets sold at the Labor Day Bazaar totaled $3600. He asked that promised donations for the banner be passed to Chris who will organize them and then forward to Jeff.

Directors Report was given by Chris Gaither in Alison Warners absence.

Polos – Not all monies have been received; there are just 4 students left to pay for their polos.
Color Guard Uniforms - We hope to have uniforms received before Del Oro. Also, we are in need of someone to act as a color guard coach. Chris has a couple of names but nothing solid at this time. Additionally, we need someone to supervise Color Guard mornings at UM first block. No one was named.

Field Props for Field Shows. Lisa Bergenholtz volunteered her husband to assist in this effort.

Video Taping of Field Shows – Carol Kouklis and Judi Harkins agreed to tape our field shows at the football games for Alison to aid students in their performances.

Piano Player needed for Choir. No person was named to fill this need.

Fundraiser Update – Deanna Santana
Competition Parent Volunteers were named as a reminder of their commitment for upcoming competitions.
Raffle – Deanna reported that our current raffle ticket sales total approximately $5900. We are on target so far. The Butterfly Concert was a bust. We will be selling tickets at the upcoming car show at the fairgrounds, all home football games, and a motocycle event September 23-24. We have 29 ticket books out and have a 3-week cushion for sales before end of selling promotion.

Folsom Harley has agreed to buy back the motocycle From the winner of the raffle, or the ymay trade it in on another bike.

Vintage trailers is lending us a trailer for duration of the raffle to haul the bike around.
‘Love Is In Our Music’ Dinner Fund Raiser will be meeting in October, November, December and January to organize and execute this event. Deanna has all the meeting dates for those involved. Please send any or all ideas for auction to Deanna Santana.
President Report – Chris Gaither
The Prock’s suggested we have a Pizza Party for the freshmen band members before 1st game.Ms. Warner then suggested that we open it up to
all the band members. John Prock motioned to accept the party, Tori seconded the motion and motion was carried.

Del Oro – Since we will not be going to Pacific Grove, our transportation budget will not be an issue this year.

Uniforms – Cleaning cost are $8.50 per uniform per cleaning
Sousaphones – We could not find someone to repair our sousaphones so Chris went with a rent-to-own on two used, refurbished units. Contract is 1 yearly payment of $1600 per each, three-year contract. If our grants are paid to us this year, we will have the choice of either buying new sousaphones or paying off the rent to own. The rent-to-own decision had to be made prior to the September 12th meeting as the instruments were needed in band. Tori made a motion to accept Chris’ contract for the sousaphones and Carol Kouklis seconded the motion. The motion was carried.
The present sousaphones were on loan from Ponderosa and Paula assured us that they had no problem with them getting used. They expected them to get worn and returning the sousaphones in disrepair should not be an issue.

Board Postiions 4 – We need to chair four positions for each section of music to have an informational contact for updates. Motion to accept these positions was made by Tori and seconded by Jeff and motion was carried.

Marching & Concert Band – John Prock

New Business – Tori Loba
Banner –Tori Loba reported that the banner has been ordered and we should expect it within three weeks. All donated funds not yet received should be given to Chris who will pass on to Jeff Holm.

Fusion – Cory Harkins and Karina Holm, band students, presented group with a theatrical fundraiser for UMMB for May 31st thru June 2nd. They explained how they would attain sponsors to defray any costs, sets, materials, and custodial fees, etc… Deanna Santana motioned to sponsor them and Jeff Holm seconded. The motion was carried. Carol brought to their attention they need to rethink some of their dates so there are no conflicts with the Spring Concert and Memorial Day.

Competitions – Chris suggested that we feed our band members at competitions to help defray the expense for all. Suggestions were made on how to prepare food in advance and/or barbeque at the event. Judi Harkins volunteered to organize this effort and Deanna offered to coordinate flyers for food signups. Steve McVey suggested snack buying at CostCo.

Uniforms – All alterations are done and we should have them back from the cleaners in 3-7 days.
Jazz Jubilee in downtown Placerville will allow UM to perform October 1st.
The next booster meeting will be on October 10th, 7pm in the band room.

Hi, My husband and I would like to come to the auction/dinner on Feb 17th and we have a couple of items to donate. How do we get tickets to the event and where and when do we bring the items to donate?
